The departments of Whitman County government will have more LaserFiche use after county commissioners approved money for five new licenses at their July 20 meeting.
The $6,465 purchase includes annual maintenance for the software which scans documents into non-condensed images with optical character recognition (OCR), the feature that makes a document searchable.
The new licenses will allow more county workers to use the software at any one time.
“We were having more people wanting to use the server than we had licenses for,” said Chris Nelson, Information Technology Director for Whitman County.
Departments which use the feature include the Board of Commissioners, Superior Court, Prosecutor’s office and more.
With approval, Nelson made the purchase from Cities Digital of Wisconsin and installed them Monday morning.
“These licenses would be well-used,” she told the Commissioners last week while making the proposal.
“It is my impression that LaserFiche could be a cost-saving measure,” said Commissioner Michael Largent.
“I think it’s a valuable product,” added Nelson. “What we have right now is a demand greater than we can support.”
The commissioners approved the expenditure unanimously.
With the new licenses in effect, 10 people at county offices can have full use of LazerFiche at any one time. That means less will see the on-screen message which states they cannot get access.
“Hopefully, they won’t see it at all,” Nelson said.
Whether more licenses will be needed in the future is unknown.
“We may add more or decide to move to something else, depending on technology,” said Nelson. “There’s just a lot of things up the in air right now.”
